POSITION: Program Director

DEPARTMENT: Operations

REPORTS TO: VP, PMO

POSITION SUMMARY:

The Program Director partners with an Account Director to co- own a client relationship. The Program Director is a client centric, project management focused role working toward flawless delivery of the projects in their portfolio. The Program Director and their team will own the delivery of the project from start to finish, ensuring the client has a project partner, timelines and budgets are managed, and team satisfaction is monitored. The Program Director will have a requisite number of producers and projects managers assigned throughout the course of service delivery.

ADDITIONAL RESPONSIBILITIES:

· A client-facing role responsible for overall portfolio logistics (project, campaign, heavy-up, burst, always-on) in a dedicated capacity. Based on balance, the Program Director may be assigned more than one client portfolio

· Proven ability to manage long-term, multi-million dollar campaign budgets with multiple project tracks and teams

· Develop and implement new team and inter-Agency processes to better service our clients and strengthen the workflow stream

· Accountable for the management of a team of Project Managers and Producers with a view to operating as the point of contact (to client) for any and all matters specific to programs/portfolio during the creative development, production and wrap phases of a project

· Produce weekly status documents with key tasks and deliverables for team members

· Oversee several Project Managers and/or Producers (assigned based on requirements) and the development of all deliverable documentation including, but not limited to;

o Budgets

o SOWs

o WBS

o Trackers

o Reports and reconciliations

· Remain accountable for all aspects of project management throughout the project lifecycle and understand and implement client-agency process

· Proactively identify & communicate schedule and scope changes, predict and escalate resourcing and project issues as appropriate and work closely with all Diamond departments to develop solutions

· Formulate, organize and monitor inter-connected projects within their portfolio

· Effectively resource Project Managers and Producers, maintaining an Agency standard utilization rate across the portfolio

· Coordinate cross-project activities involving all relevant Project Managers and Producers assigned

  • Serve as the day-to-day contact for clients and vendors throughout the full scope of the project
  • Initiate project budget estimates and manage project hours burn for project teams through project profitability reports, as managed by Project Managers and Producers
  • Run scrum meetings for each project to determine overall status and plan for effective issue resolution at all stages and levels
  • Manage the career development for a number of Project Managers including performance reviews and development plans
  • Contribute to a strong Agency Culture through a collaborative and and teamwork-centric management style

QUALIFICATIONS/REQUIREMENTS:

· MUST have agency experience to qualify

· 10+ years of experience working at a consultancy, branding, digital or creative agency in an integrated, client facing, project management role

· Experience with direct reports and people growth management

· Experience working with Media Agencies to deliver against an integrated paid media plan

· Proven experience as a Program Director or senior level Project Manager (ready to lead) with solid understanding of the project management techniques and mythologies

· Must have a successful track record of campaign work, and a strong understanding of Digital, Social and Content

· Experiential and or Broadcast production experience would be an asset

· Proactive and solution based problem solving skills and comfortable dealing with client escalations

· Strong creative, strategic, analytical, management and organizational skills

· Must have the ability to lead, manage and motivate a large team including mentorship, ongoing learning and development

· Motivated by a fast moving, collaborative work environment

· Confident in leading project plans and scope planning conversations

· Superior management skills to estimate creative time and other staffing requirements

· Ability to actively listen, ensure understanding, adaptability

· Extremely adept in software applications including G-suite, MS Office

· Strong network of vendors, talent and production houses within the industry a plus

· This role does require some travel, weekend work and/or off-standard hours of program execution when necessary
