POSITION SUMMARY:

You are uniquely qualified to manage the planning and implementation of integrated projects, this includes but not limited to: Events and Experiential. You are primarily responsible for planning, scheduling, and coordinating an event from end to end on time, and on budget. You are an event planner that thrives on delivering a product of excellence. You have experience building event concepts, managing high end clients, and working with musical talent. You enjoy the process of creation and have extremely high standards in order to execute flawlessly within an integrated environment. Your communication skills are stellar, you know how to keep all people involved informed on timelines and project scope. You manage and develop budgets, schedules, and collaborate with all departments and stakeholders to achieve successful outcomes. You are a natural born leader with a strong ability to multi-task and act as point of contact for a project internally and externally. You are logical and understand process and procedures and can successfully collect data/metrics and any necessary qualitative details and successes from the event. Your role is client facing, which means you are professional and are good at problem solving quickly. You typically manage 2+ programs at a time with a team or as an individual depending on complexity and timing.

ADDITIONAL RESPONSIBILITIES:

  • Lead on managing and developing event documentation for delivery and maintenance such as budgets, tracking documents, reports, work back schedules, etc.
  • Serve as the client lead to maintain best in class client service, and campaign solutions
  • Must have experience and a technical understanding in events, where you have sourced and managed multiple vendors such as AV, venue, catering, furniture, floral, print, talent etc.
  • Manage all contracts with vendors and musical talent, with experience in negotiation
  • Execute event logistics being hands on with floor plan, décor, set up, tear down etc.
  • Operate as the point of contact for any and all matters specific to your event during the creative development, production and reconciliation phases of a campaign
  • On-going interdepartmental collaboration throughout the program evolution process, as well as third party vendor & venue liaising
  • Assist in the consistent delivery of client communications (either direct to the Client or through the Accounts Team) so as to provide updates on the program, and action plans to enhance or build upon current results
  • Keep internal stakeholders up to date and on track with agreed to revisions to size and scope of projects
  • Assist on the post-event evaluation process/management identifying key learnings and opportunities for improvement
  • Deliver amazing work but find ways of producing it that do not jeopardize the schedule and budget

QUALIFICATIONS:

  • Demonstrated skills, knowledge, and experience in planning and execution of events
  • Strong creative, strategic, analytical, management and organizational skills
  • Minimum of 5 years’ experience in Events, preferably with a background managing integrated projects, working with high net worth clients etc.
  • Clarity in written and verbal communication in a professional manner
  • Extremely detail oriented, logical, work-oriented and analytical
  • Ability to actively listen, ensure understanding, adaptability
  • Ability to work independently, and under pressure in a fast-paced environment while remaining highly motivated
  • Experience managing a project team of +2 people.
  • Extremely adept in software applications including MS Office, with working knowledge of project management software and financial tool
  • Travel will be required / weekend work and/or off-standard hours
